Data, Storage & Backup Policy

Image Depot is built for photographers and media professionals who depend on reliable access to their Content. This policy explains how Image Depot approaches storage, Content availability, exports, deletion, and backups.

1. Your Content Belongs to You

Your photographs, videos, graphics, and other uploaded Content remain your property. Image Depot does not claim ownership of your Content. Our goal is to provide the infrastructure necessary for you to manage and deliver your Content without giving up ownership of your work.

2. Active Storage

Content uploaded to Image Depot is stored as part of the Service and is subject to the storage limits associated with your subscription plan. Storage limits may include:

Total storage capacity
Individual file-size limits
Gallery limits
Video limits
Bandwidth or delivery limits
Other technical limitations

Current limits will be displayed with the applicable plan.

3. Original Files

Where the Service supports original-file storage, Image Depot will store uploaded originals according to the capabilities and limits of the applicable plan. Image Depot may also create technical versions of files for purposes such as:

Gallery display
Thumbnail generation
Web delivery
Watermarking
Download optimization
Device compatibility
Performance optimization

These technical versions do not transfer ownership of the underlying Content to Image Depot.

4. Backups

Image Depot may maintain backups or redundant copies of data as part of its infrastructure and disaster-recovery practices. However:

Image Depot should not be considered the sole archival copy of your photography
Professional photographers should maintain independent copies of important original files
Image Depot's backup systems are intended to support service reliability and recovery. They are not a guarantee against every possible form of data loss

5. Data Loss

Image Depot will use reasonable practices designed to protect stored Content. However, data loss can occur because of:

Hardware failure
Software defects
Human error
Cybersecurity incidents
Account compromise
Accidental deletion
Third-party infrastructure failure
Natural disasters
Internet or power failures
Other unforeseen events

To the maximum extent permitted by law, Image Depot is not responsible for losses that cannot reasonably be prevented or recovered.

6. Your Backup Responsibility

Photographers should maintain independent backups of:

Original photographs
Video masters
RAW files
Final edited files
Important client records
Business records

A recommended professional workflow is to maintain more than one copy of important original Content.

7. Exporting Your Content

Image Depot believes photographers should be able to leave the platform with their work. Subject to technical limitations, users may export their Content. Large libraries may require additional processing time. Export availability may depend on:

File volume
File type
Account status
Technical limitations
Security requirements

Image Depot may implement reasonable procedures for verifying ownership and authorization before releasing large or sensitive exports.

8. Account Cancellation

Canceling a paid subscription does not necessarily mean your Content is immediately deleted. Where applicable, Image Depot may provide a reasonable period for you to:

Export your Content
Download your Content
Upgrade your plan
Make other arrangements

The specific retention period may depend on the account type, plan, and circumstances of termination.

9. Account Termination

If Image Depot terminates an account because of a violation of the Terms, Image Depot may restrict access immediately. Where legally and technically appropriate, Image Depot may provide an opportunity to retrieve Content. Accounts terminated because of serious abuse, fraud, illegal activity, security threats, or legal requirements may not receive the same retrieval period.

10. Deleted Content

When Content is deleted:

It may first be removed from active access
It may subsequently be removed from operational systems
Copies may remain temporarily in backups or disaster-recovery systems
Those copies may be removed according to applicable retention schedules

Deletion from every system may therefore take time.

11. Storage Limits

Image Depot may enforce storage limits associated with a Studio's subscription. If an account exceeds its permitted storage, Image Depot may provide notice and an opportunity to:

Upgrade
Delete Content
Export Content
Archive Content where available

Image Depot will not intentionally use storage limits as a means of permanently trapping a Studio's Content.

12. Archived Content

If Image Depot offers archival storage, archived Content may have different availability, access times, download capabilities, pricing, and retention periods. The applicable archive terms will be presented before enrollment.

13. Security

Image Depot uses reasonable measures designed to protect stored Content against unauthorized access, loss, misuse, or alteration. No online storage system can guarantee absolute security. Studios remain responsible for account security and maintaining independent backups.

14. Service Availability

Image Depot works to maintain reliable access to stored Content. Temporary interruptions may occur because of maintenance, infrastructure failures, security events, network outages, third-party provider issues, emergencies, or other circumstances beyond Image Depot's reasonable control. Image Depot does not guarantee uninterrupted availability unless a specific service-level agreement states otherwise.

15. Policy Changes

Image Depot may update this policy as storage technology, infrastructure, plans, and services evolve. Material changes will be communicated as appropriate.
